If people regularly ask you to repeat yourself on Teams calls, the cause is rarely your voice. It tends to be one of four things: Teams is listening to a different microphone than you think, the input level in your operating system is set low, the microphone is too far from your mouth, or some piece of processing is mistaking your voice for background sound. Each has a quick test, and most have a quick fix.
Check which microphone is actually in use
Start here, because it explains a surprising share of “quiet” complaints. You put on a headset, the sound arrives in your ears, and you reasonably assume the headset microphone is live too. But speaker and microphone are chosen separately. Teams may be playing sound through the headset while still listening through the laptop’s built-in microphone, which sits an arm’s length away under the screen, or through a webcam microphone perched on top of a monitor.
Open the device settings in Teams and read the microphone name. If it is not the one next to your mouth, switch it. Docking stations make this worse, since plugging in can reshuffle the defaults, and some monitors and docks present their own audio inputs that lead nowhere useful.
While you are there, speak and watch the level indicator under the microphone selector. If it barely moves, you have confirmed the problem is on your side and not a colleague’s speaker volume.
The level is set outside Teams
Teams does not have a big microphone volume slider because that job belongs to the operating system. In Windows, the sound settings list each input device with its own volume, and it is common to find a headset sitting well below full after a driver update or a previous app’s adjustment. On a Mac, the input volume lives in the sound section of System Settings. Raise it, speak at a normal volume, and aim for a meter that moves comfortably into its upper half without hitting the top.
Teams does offer an option to adjust microphone sensitivity automatically. For most people it is helpful and should stay on. If your volume drifts up and down during calls, though, try toggling it and running a test call each way to hear which is steadier.
Some headsets add a third layer in the form of companion software or an inline control with its own gain setting. If you installed a utility that came with the headset, look there as well. Distance and direction matter more than the hardware
No setting fully compensates for a microphone in the wrong place. Sound level falls away quickly with distance, so a boom microphone that has drifted down to chest level, or one pushed up near your forehead because it felt intrusive, captures a fraction of what it would at the corner of your mouth. Position it about two fingers’ width from the corner of your lips, slightly to the side so your breath does not hit it directly.
Many boom microphones are directional, with a marked side meant to face you. If yours has a small dot or the word “talk” on one face, check that it is pointing at your mouth and not away from it.
For laptop microphones, the enemies are distance and obstruction. A closed laptop connected to an external screen will muffle its own microphones. If you depend on built-in audio, keep the laptop open and close.
Wireless earbuds deserve a mention. Their microphones are far from your mouth by design and lean heavily on processing. They are fine in a quiet room but often sound thin or distant in a noisy one, and when a Bluetooth headset is used for both listening and talking, overall quality typically drops compared with a wired or dongle-based connection.
When noise suppression eats your voice
Noise suppression decides moment by moment what is speech and what is not. A soft voice, a trailing sentence, or speech competing with a loud room can be partly suppressed, which listeners experience as you fading out. If your words seem to disappear mainly at the beginnings and ends of sentences, try a lower suppression level in the Teams device settings and compare with a test call.
Be careful about stacking filters. A headset with its own noise reduction, plus a third-party filter app, plus Teams on its most aggressive setting is three rounds of processing on one voice. Choose one and turn the others down.
Two minutes that settle it
Make a test call from the Teams device settings and listen back. Confirm the microphone name, raise the system input level, fix the boom position, then test again. If the playback sounds clear and full, the next person who cannot hear you should probably check their own speakers.
